A tenant whose suite is too warm does not call a mechanical contractor. They call you, and whoever you send becomes part of how they judge the building. Send someone who arrives late, or arrives and sells them something, and the tenant remembers who sent them. The routine work that prevents the call is the most affordable work in the building and the first thing to slip off a schedule.
Comfort is not a soft variable. A study in the Journal of Real Estate Finance and Economics matched tenant satisfaction surveys to the leases behind them across 2,906 US office buildings. Tenants who rated their building one point higher on a five-point scale were 8.6% more willing to renew, 11.5% more likely to recommend the building, and 23.1% less likely to move out.
Planned air filter replacement and coil cleaning are what keep a suite comfortable between now and the renewal conversation. They happen on a date somebody chose, not on an issue somebody had to raise.
IREM’s national summary of 2024 office operating data puts repairs and maintenance at $3.12 per square foot: the largest single expense in the building, ahead of taxes and insurance at $2.66 and utilities at $1.90. Now split it. How much was work scheduled on a date somebody chose, and how much was a call somebody had to return? Nobody publishes that split. We went looking. The Department of Energy’s own maintenance guidance puts a planned program 12% to 18% cheaper than a reactive one, which leaves the largest controllable line in the budget running on the least information.
None of it can be managed without knowing what is on the roofs, and most portfolios inherit an equipment list that was never checked against the buildings. A good place to start is with asset data collection — make, model, serial and age per unit, per building, including the units a lease assigns to a tenant.
What gets done and what moves the interval. Cadence is set per building rather than per portfolio. Every row is a planned visit with a completion record.

Standard box filters are designed half an inch short on each side, and unfiltered air passes around and through the gaps on the filter track. That is not a maintenance issue — it is a design flaw, and no filter schedule fixes it. Tiger striping on an evaporator coil is those gaps made visible, and across a commercial property management or commercial real estate portfolio, the downstream impacts multiple at every building location.
The PleatLink® Filtration System was patented in 2000 to close those gaps, and is still manufactured at our Nashville facility. Continuous media, reusable metal frame, and cardboard-free. The media extends a full inch beyond the frame top and bottom, forming a gasket-like seal that fills the entire filter track. Tested to ASHRAE standards by Blue Heaven Technologies, in MERV 8 and MERV 13, and specification-matched per HVAC unit.
The lease decides who carries the rooftop unit, who carries the complaint, and who carries the capital. The routine HVAC work is identical at every building.
