Retail HVAC & Filtration Maintenance

Nothing is noticeably wrong.
It just costs more.

Planned HVAC and filtration services that protect merchandise, reduce operating costs, and maintain customer comfort for multi-site non-food retail operators, self-performed at every location.

Eighteen cents of every energy dollar in a retail store moves air.

The essential retail HVAC and filtration checklist.
Set per site, not per chain.

What gets done and what moves the interval beyond industry best practices. Every row is planned work, on a set schedule per site.

Service What determines the cadence
Air filter replacement Packaged rooftop units serving the sales floor and stockroom Location of store i.e. on a dusty corridor, near construction, or runs door traffic all day.
Coil cleaning Condensers and evaporators on packaged rooftop units Factors such as coastal salt, cottonwood, or heavy road debris.
Return air vent cleaning Return vents and grilles on the sales floor and in fitting rooms Store format and floor traffic. Return vents are the ones visible to customers.
HVAC and exhaust fan belt changes Rooftop units and restroom or stockroom exhaust fans Replaced on measured wear rather than on a fixed date, because a belt gives warning before it goes.
Asset data collection Every unit on the roof, including the ones not on your current list A scheduled event, not an interval. Units get replaced, stores get acquired, and HVAC asset lists go stale.

Mapped. Routed. Documented.

Our structured approach takes customers from onboarding to consistent execution, clear visibility, and measurable success across every site.

ReportLink™

Every visit is verified and documented in your customer portal.

Business Reviews

We review quality, SLAs, and KPIs on your preferred cadence.

Eyes on every roof + each visit documented.

Our technicians photograph and log what they find on each service visit to every store. Not just the before and after of each service they perform, providing you with proof of service documentation, but other things they see while they are there. Holes on the roof. A disconnected condensate line. A missing safety rail.

Those site issues go into ReportLink™ with photos, notes, and location detail, so a store manager or a regional facilities lead can review and take next steps. Our technicians identify 40k+ site issues per year, and every one of them reaches our customers unpriced. See what a report looks like.

BFC does planned work only and never quotes a repair, so the report in your hands was not written by anyone who stood to gain from what it says. Take it to your own mechanical contractor and compare bids on findings nobody had a reason to inflate.

What we do at a retail store.

Essential services that keep HVAC units performing as intended. Planned, scheduled, and 100% self-performed.

Air filter replacement

Filter neglect across a large floor plate reaches the energy bill before any store reports discomfort, which is how it goes unnoticed for months. Customized to unit specs and changed on schedule.

Coil cleaning

Buildup on a coil acts as insulation. The unit works harder for the same set temp across a large space, and the compressor is the most expensive thing on the roof to fail.

Return air vent cleaning

Return vents sit in plain view on a sales floor. Air and odor are the first things a shopper registers, and vent condition is an easy solve.

HVAC and exhaust fan belt changes

A large store runs several rooftop units, so when one belt snaps the others units cover for it and nobody notices until the store gets warmer and the energy bill climbs higher.

Asset data collection

Most retail HVAC asset lists out of date with units replaced years ago still on the list, and units on the roof that were never recorded. We capture what you actually have across your stores.

What time leaves behind on a coil.

See what a season of road dust, pollen and cottonwood leaves on a packaged rooftop unit, and what the same coil looks like after a planned cleaning.

The half inch gaps you can see.

Standard box filters are designed half an inch short on each side, and unfiltered air takes the gaps around and between the filters on the track. That is not a maintenance issue — it is a design flaw, and no filter schedule fixes it. Tiger striping on an evaporator coil are those gaps made visible, and across a store portfolio, the downstream effects multiply. On a sales floor, nobody notices it until the unit is short on capacity in July.

The PleatLink® Filtration System was patented in 2000 to close it, and is still manufactured today at our Nashville plant. Continuous media, reusable metal frame, cardboard-free. The continuous media extends a full inch beyond the frame top and bottom, forming a gasket-like seal that fills the whole filter track. Tested to ASHRAE standards by Blue Heaven Technologies, specification-matched per unit, and available in MERV 8 and MERV 13.

One program to simplify multi-site operations.

The routine HVAC work is the same across stores. Same filters, coils and belts. What you need is consistency across store locations. We can help.

One standard across the footprint.

A thousand near-identical stores need the same work done the same way. Planned and scheduled visits, same scopes of work, and consistent performance execution at each location. Nothing skipped or deferred.

Proof you can hand to your client.

You answer for every site on work you don’t perform yourself, which means you need evidence rather than assurance the work was completed. Proof of service documented for each unit and visit, with visibility by store or store-wide. More for facilities partners.

Budgets you can pedict.

With set service schedules and known annual costs for every store location in your portfolio, you get budget predictability and fewer reactive repairs disrupting your budget plan.

Retail comes in more than one format.

The same planned program, built around how each store actually uses its space.

Apparel & Accessories

Sales floor, fitting rooms and stockroom on one roof.

Banking & Credit Unions

Teller line, offices and vault sharing one rooftop unit.

Furniture & Home Furnishings

Big showrooms, light foot traffic, and a warehouse.

Telecom

A sales floor up front, and a back room that runs the store.

BFC is a long-time partner and one that has been nothing but professional, timely and efficient. Their service is one that we can count on and do not have to follow up wondering if the job was done. In rare occasions where an issue arises the problem is taken seriously and the follow through is concise. I am a fan!

CBRE

We serve more than just retail.

Planned and scheduled service programs, adapted to each industry’s wear on HVAC systems.

Grocery Stores

Refrigeration across every department, on razor-thin margins, in a store people are meant to linger in.

Convenience Stores

Foodservice added to the footprint, with one rooftop unit and coolers that are effectively the store.

Restaurants & Fast Food

Roof to kitchen, where the dining room and the kitchen fight over the same air and the walk-ins have to pass inspection.

Property Management & Commercial Real Estate

Portfolios where the landlord carries the rooftop unit and/or a tenant may be responsible for maintenance.

Facilities Management

The recurring scope an FM firm absorbs for a client, documented per site so findings go straight up the chain.

Every store on the same program.

Whether it sits on a dusty corridor or a clean suburban center, it’s consistent. Tell us about your stores and we’ll build a planned HVAC service program that scales.
